Founding meeting

Before you decide to convene a founding meeting, you should promote your new association as widely as possible. If it seems that there is a clear need and willingness to found a new association, you should arrange a founding meeting. The purpose of the meeting is:

1. To examine the willingness of members of TKY to found such association.
2. To found a new association within TKY, if deemed necessary.

Preparations

The founding meeting is a general meeting where all those who are interested in the new association are gathered together. The meeting must be advertised as publicly as possible. At least the notice of the meeting must be published on the TKY’s official notice board in the Secretariat two weeks before the meeting. The notice of the meeting must contain the issues on the agenda of the meeting. Additionally, it is advisable to advertise the meeting in newsgroups, general notice boards of the University, OUBS’ Ruutukehä and every possible hobby site. You should also send the notification of the founding meeting to [email protected].

You should also discuss the founding of your new association with the TKY’s Secretary of Organisational Affairs. The Secretary helps with drafting the rules and regulations, and will come and follow the founding meeting, if necessary. The agenda of the meeting must be prepared before the meeting. The rules and regulations of the association create the greatest amount of work. The founding meeting should accept the rules and regulations and at least agree upon the association’s general principles (purpose and activities) and form a committee (a board for instance) to draft the final version of the rules and regulations to the association’s next meeting.

The rules and regulations must be passed again in another meeting before the association can enter TKY’s list of associations.

Obligatory issues on the agenda

The agenda of the founding meeting must contain the following issues:

  • decision of founding the association (i.e. drafting the charter of the association)
  • rules and regulations
  • electing a board (can be complemented at a later date)
  • electing auditors
  • electing possible officials
  • time and place of the next meeting

The founding meeting drafts the charter of the association, which must contain the following information:

  • the association founded,
  • the date of founding,
  • the members who have joined it (at least three persons over 15 years old)
  • and that the persons joining as members have accepted the rules and regulations attached to the charter

The meeting should discuss on the future activities of the association and draw up a budget and the plan of action to be passed in the second meeting at the latest.

After the first meeting, the association is founded. The association is in existence whether or not it enters the TKY’s list of associations.
