Tilakähmyt - facility hoarding

Associations can book the TKY’s one-time rentable facilities for the next term twice a year in a so called Tilakähmyt, a facility hoarding. The autumn term bookings are made in spring Tilakähmyt in April or May, the bookings for spring and summer are made in November or December. Kähmys are arranged by the Secretary of Organizational affairs.

All those associations, which belong to the primary register of the TKY’s list of associations, are able to participate in Tilakähmyt. Associations in the secondary register can apply the Board of the Student Union for permission to participate in the Tilakähmyt. Applications are submitted to the Secretary of Organizational Affairs at least two weeks before the Tilakähmyt are arranged.

How do they work?

1. The TKY considers its own facility needs and the facilities are hoarded inside the TKY. Because it is not possible to displace the facility pre-bookings by the TKY, the TKY aims to inform the associations of its bookings in forward so that double bookings could be avoided.

2. Guilds and Nations send their facility requests to the Secretary of Organizational Affairs.

3. Because guilds have the most events of all associations, and therefore a lot of facility needs, guilds have their own kähmyt a week before the official Tilakähmyt to facilitate the event. This does not mean, however, that the guild bookings would become valid already in the guild kähmyt. Guilds must also participate in the official Tilakähmyt.

4. Associations send their facility requests to the Secretary of Organizational Affairs.

5. The actual Tilakähmyt is an event chaired by the Secretary of Organizational Affairs where everybody’s facility requests are examined. When double bookings occur, the issue is solved between the associations in question. If the opposing association does not have a representative to defend their request, the association with a representative wins automatically.
